FREQUENTLY ASKED QUESTIONS

If you cannot find the answer to your question below, please contact one of the licensing team.

How long will the licence application process take?
The online licensing system should take between 10 and 30 minutes to complete depending on the speed of your connection and how many of our products you want to reproduce.

If the licensing team process your low value and non-commercial application it will take up to 5 working days for a licence agreement to be sent to you.

For commercial applications it will usually take the licensing team up to 20 working days for the issue of a licence agreement but this could be longer for very complex applications.

We will always tell you if it will take longer than 5 working days.

Can I make a facsimile copy?
We do not grant permission to make facsimile copies (or very similar copies) of one of our products (including products of our joint ventures and licensed partners). However, we can discuss ways of providing them to you.

I am giving away my product so do I qualify for a free licence?
As a rule we consider that something has a commercial value if it might be in competition with something that other people sell. So even if you give something away, or you sell it for very little (for example, for promotional reasons), it may still have a commercial value. We will assess the commercial value by comparing it with the average price for similar products.

For example, many organisations publish annual tide tables as small booklets or leaflets. Many charge £1 per port per year per copy for these. Therefore if you want to produce a similar booklet and give it away free, then we assess the value to be £1 per port per year per copy. Therefore, to qualify for a free licence, you could only produce up to 3,000 copies per year if you include one port per booklet or 1,500 copies per year if you include two ports.

You should calculate the commercial value as the total value of your product or service, and not just the element that you reproduce from our material. For example, if you include a small reproduction of a chart on one page of a 100 page book, then the commercial value will be the total selling price of the book and not 1% of the total selling price.

(For students) Can I use a chart extract in my thesis, college report or school work?
We have no objection to the use of a small chart extracts in your thesis, college report or school work but you should include an acknowledgement to the UK Hydrographic Office. However, your university, college, school or sponsor cannot use those reproductions without our permission.

(For teachers) Can I use a chart extract as part of my teaching material?
You can either obtain a free licence using the UKHO's Copyright Online Licensing System or you can contact us and we will send you a short educational permission to cover the use by you. This permission covers the preparation of copies for the use by the teacher or by examiners. Educational permissions are given in the form of a letter rather than a full licence agreement.

We would like to include a chart in a TV programme, is this allowed?

We allow our material to be used in television programmes and in films, whether they are broadcast to viewers through normal terrestrial aerials, by cable or satellite, or over the internet. We also allow programmes to be distributed by video, DVD or other forms of recording material. We normally grant permission free of charge for this, however if your programme or film is designed to instruct others on how to navigate, or how to use navigational products then we would not grant a free licence. You may need to pay a licence fee to include our material in a teaching programme.

Can I add items to my current copyright licence?
If you have completed an online licence or had a low value and non-commercial licence issued by the licensing team you will need to apply again for a new licence agreement as it is not possible to add products to an existing licence. If you have a commercial licence then you are able to add products to your licence agreement with us and this will need to be done by the licensing team.

How long will it take for my online licence to be returned once I have submitted my online application?
A draft copy of your online licence should be sent to you within 60 minutes but this may vary depending on the speed of your Internet connection and the volume of online site traffic.

I have returned my draft licence email but an error message appears?
The email to accept your draft online licence requires you to cut and paste your licence code into the subject line, if this has not been done an error message will appear. Please reply to the e-mail again, with the licence code in the subject line.

If you continue to have problems, then please contact one of the licensing team.

When can I start copying the material?
You can start copying the material once you receive a full licence agreement from us, either by e-mail from the online licensing system or as a written licence signed by us.
